As part of our photography services, we capture and process photographs and, where applicable, video content that may identify our clients, wDuring weddings, pre-wedding sessions and other photographic assignments, we capture and process photographs that may identify our clients, wedding guests, family members, children, suppliers and other attendees.
Photographic data may include:
- Original RAW photographic files
- Edited photographs
- Online gallery images

- Associated image metadata
We process these photographs for the following purposes:
- Capturing, selecting, editing and delivering commissioned photography
- Providing online galleries
- Producing albums, prints and other photographic products
- Responding to requests for replacement images or additional editing

Lawful basis:

Photographs of Our Clients
We request separate, optional consent through our Model Release for promotional use of photographs identifying our clients.
Signing the Model Release is not a condition of booking our photography services.

Clients may withdraw their consent at any time by contacting us. Withdrawal does not affect processing carried out lawfully before consent was withdrawn.
Photographs of Wedding Guests
Wedding guests and other attendees are not parties to our photography contract.
We may use selected photographs featuring identifiable guests for portfolio and promotional purposes where an appropriate lawful basis exists.
For suitable photographs, we may rely on Legitimate Interests under Article 6(1)(f) UK GDPR.
Our legitimate interest is demonstrating the quality and style of our photography to prospective clients and promoting our professional services.

Photographs published publicly may be accessible to others and may be processed by social media platforms, publishers or other third parties under their own privacy policies.
4. International Transfers
Some of our service providers store or process personal data outside the United Kingdom.
Backblaze Computer Backup
We use Backblaze Computer Backup to maintain backup copies of our photographic files, including original RAW files and edited photographs.
Our Backblaze backup data is stored in the US West region of the United States.
Pixieset
We use Pixieset to host and deliver online wedding galleries. Photographs and associated personal data may be processed outside the United Kingdom in connection with these services.
Other Providers
Website analytics, email, hosting and other technology providers may also process certain personal data internationally.
Where we initiate a transfer of personal data outside the United Kingdom that is subject to UK GDPR international transfer rules, the transfer must be covered by an applicable legal mechanism.
Depending on the circumstances, this may include:

5. Data Retention
We retain personal data for as long as reasonably necessary for the purposes for which it is processed, taking into account contractual requirements, professional practices, ongoing client services, legal obligations and legitimate business interests.
5.1 Retention Periods
Financial Records
Invoices, accounting records and associated financial information are normally retained for at least six years, or longer where required by applicable law.
Contracts and Booking Information
Contracts, wedding planning documents, booking records and related correspondence are normally retained for up to six years following completion of services, unless longer retention is reasonably necessary for legal, insurance or other legitimate purposes.
Enquiry Data
Information relating to enquiries that do not result in bookings may be retained for up to three years, where justified for managing enquiries and potential future bookings.
RAW Files and Original Photographs
As professional photographers, we retain original photographic files, including RAW images, as part of our long-term photographic archive.
These files represent the original photographic record of our work, comparable to traditional film negatives.
Retention supports:
- Preservation of our original professional photographic work

- Additional editing and replacement photographs

We do not apply a fixed deletion period to our photographic archive.

Final Edited Photographs
Edited photographs may be retained as part of our professional archive and for ongoing client services, future orders, portfolio use where lawful, and other legitimate business purposes.
Online Galleries
Edited photographs may be made available through Pixieset for the period associated with the relevant client service or gallery arrangement.
The availability of an online gallery is separate from the retention of photographs within our professional archive.
Backup Copies
Photographic files are stored locally on external storage devices and backed up using Backblaze Computer Backup.
Our Backblaze backup data is stored in the United States, and our account is configured with one-year Version History.
This setting ordinarily allows recovery of deleted files and previous file versions for up to one year, subject to Backblaze's applicable service conditions and backup arrangements.
The one-year Version History setting does not impose a one-year retention limit on photographs that remain part of our active photographic archive.
Portfolio and Marketing Photographs
Selected photographs may be retained and used for portfolio or promotional purposes while an appropriate lawful basis continues to apply.
Where consent is withdrawn or a valid objection requires us to stop processing, we will take appropriate action in accordance with applicable legislation.
5.2 Legal Obligations
We may retain personal data beyond our normal retention periods where necessary to comply with legal obligations or establish, exercise or defend legal claims.
5.3 Security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, accidental loss, alteration and disclosure.
These measures include appropriate access controls, storage arrangements and backup systems.
No electronic storage or transmission system can be guaranteed to be completely secure.
